General Description
The Administrative assistant will be responsible for assisting facilities and maintenance Director & F&M department in the overall F&M department administration, and with overall communication with all other department needs and concerns within all aspects of the facilities and maintenance
Work Schedule
- Requires to work varies shifts (Day, evening, overnight)
- Request to be scheduled off for a specific day requires advance notification and approval
- May occasionally work overtime when needed and when approved
- May be required to work other facilities at short noticed
Essential Duties and Responsibilities
- Required to Maintain open communication with assistant F&M Director F&M Director, F&M Managers and other Department Managers and Directors
- Requires Establishing, developing, maintaining and updating filing system for the Director and the department. Retrieves information from files when needed or asked
- Retrieve department mail. Drafts written responses or replies by phone or e-mail when necessary. Run department errands as necessary.
- Types and designs general correspondence and memos. Ensures approval is obtained prior to distribution.
- Answers phones for F&M department. Takes messages or fields/answers all routine and non-routine questions.
- Act as a liaison with other departments and outside agencies. Handles confidential and non-routine information and explains policies when necessary.
- Ensures accuracy and communicate to all facilities and maintenance department managers and other departments as assigned
- Prepare, review, and post weekly F&M department schedules. Responsible for scheduling department meetings and taking meeting minutes.
- Process, and review orders for department and maintaining tracking of orders
- Must exhibit STAR treatment to all customers and co-workers.
- Assist department with special events, holiday’s and all other duties as assigned
Physical Job Requirements
- Sit and/or stand continuously and perform job functions for a full shift with lunch break.
- Requires bending, twisting, reaching, climbing, stooping, crouching, kneeling, lifting and pulling.
- Move objects up to and exceeding 25lbs. with reasonable accommodations.
- Field and Office environments
Qualification Standards
- Must pass pre-employment drug test
- Must possess a valid Cheyenne and Arapaho Gaming License
- High School Diploma and/or equivalent experience
- Computer literate
- Basic verbal and written communication skills
